From a scan to an asset’s history

The challenge
Campus assets move between departments, staff and students. Spreadsheet records made it difficult to establish where an item was, who held it and whether it needed repair.
Departments also needed separate stock controls, with a history of assignments, returns and changes.
The response
The portal separates the catalogue of item types from individual physical assets. Each unit has a unique tag and an available, allocated or maintenance status.
Staff print QR labels and scan them from the Android app to open an item’s history and available actions. Web and mobile use the same asset-tag generation rules.
Database permissions restrict stock management by department. A scan can identify an item from another department without offering actions to change it.
Assignments, returns, repairs and stock additions create audit records. Staff can export Excel workbooks and PDF reports, while a sports module tracks equipment issued to students and fines for loss or damage.
What changed
The portal brings asset location, ownership and history into one system available from a desk or an Android phone. Departments manage their own stock, and changes leave an audit record.
The supplied project material documents deployed web and Android applications and inventory reports. Adoption volumes and time savings have not been measured here.
