The challenge
EFP’s fingerprint readers recognised members but could not enforce membership expiry. Once enrolled, a fingerprint kept opening the door until someone removed it by hand.
Staff had to track expiry dates, message members, and delete fingerprints across two gyms. A missed record let a lapsed member keep training; an incorrect deletion could turn away a paying member.
The legacy system exported only a PDF of 303 rows. Yume matched membership records against the readers and reconciled duplicate enrollments before migration.
The response
A Node.js server on the gym PC checks reader scan logs every 300 milliseconds against a local membership list synced from Supabase every 30 seconds. During an internet outage, access decisions use the last synced list. A tablet by the door shows member greetings and expiry messages.
WhatsApp welcomes go out when members register. A daily run sends reminders two days before expiry and notices after expiry, once per membership cycle. Missed runs catch up after outages, and failed sends are reported to the owner.
Expired fingerprints are automatically revoked in a sweep every 30 seconds, including duplicate registrations and excluding staff. After renewal, members re-scan at reception because this firmware cannot restore a deleted fingerprint.
The front desk manages both branches through one dashboard, with renewals, pricing bundles, membership freezes, personal training, payments, reports, and an audit trail. Device operations run sequentially to avoid overloading the readers, and bulk actions have a preview mode.

Approximately 52.5 hours per month in projected admin savings at 2,319 registered members, including 1,236+ active members shown in the dashboard. The projection keeps daily list checks at 7.5 hours and scales the other 14.7 hours of the historical estimate by 2,319 ÷ 758. It assumes the same task rate per registered member; current savings have not been measured. The baseline uses 27 August–25 September 2026 activity and estimated manual task times. Separately, at least 153 expiry reminders and notices were sent from 6 August–26 September; that historical count has not been scaled.
