The challenge
Applications came through forms, coordination happened in chat threads, and certificates were prepared and emailed individually. Keeping track of members, responsibilities, and event follow-up meant moving between separate tools.
TechSoc already had a written structure for executives, team heads, and members. The platform needed to make those responsibilities part of everyday work and keep society records available through leadership changes.
The response
We built a platform around the society’s own rule book, connecting recruitment, daily coordination, and event administration. Executives, team heads, and members have access based on their responsibilities.
Public forms collect applications for member and executive positions. Review queues give the team a place to assess submissions and handle member requests. A server function provisions accounts for accepted applicants, removing the separate step of creating logins by hand.
Members have a dashboard, member directory, and team view. Team tasks can be created, assigned, and tracked in the platform, while announcements reach the people they concern. The timetable, learning modules, and society rule book are available alongside those workflows.
Event follow-up
The team can manage events and publish public event pages. Email campaigns run from the same platform, and certificates are generated and emailed automatically to participants.
This connects event administration with the follow-up work that would otherwise require preparing and sending certificates individually.
Under the hood
The application uses Next.js, React, and TypeScript, with Supabase providing Postgres, authentication, and row-level security. Serverless functions support account provisioning, email campaigns, and certificates. Public event and application pages sit alongside a signed-in member app.
What changed
The platform brings member records, teams, tasks, events, and society rules into one shared system. It gives incoming leaders a place to pick up existing records and processes as responsibilities change.
The supplied project material documents these workflows. Time savings, adoption figures, and completed leadership-handover outcomes have not been measured here.
